Too much email? What can I do to finally make a difference?

Email was supposed to facilitate communication and thus the progress of projects.
It has become a hell to manage, answer, and transfer, so we are drowning under the number of messages.
Here is a simple method to get out of it.
Why send an email?
To communicate. To advance a project, to solve a problem, or to get an answer.
You don’t write an email for yourself, but for someone who, like you, is going to find himself in front of a very crowded mailbox as soon as he arrives to work in the morning.
Be clear and precise
An email is most useful and effective when it clearly announces
- What to do
- Why
- By when
What is the best subject for the email:
- Subject email 1: 11 April partners meeting
- Subject email 2: to be prepared and validated before the Steering Committee meeting on April 11th.
What to do?
A little reflection upstream has a great benefit for everyone.
For each email to be sent, the idea is, therefore, once the email is written, to write the subject by asking us 3 questions:
- What is the theme or issue?
- What action is requested?
- What is the deadline?
While this reflection can take a few seconds longer, the benefits are nevertheless real:
1/ for our addressee:
- To be able to prioritize his emails and thus regain control of his messaging: phew!
- Avoid missing or losing an essential piece of information or an important request.
- To be able to classify them more easily according to the apparent theme in the object.
